This notice explains how RenoTally uses personal information when you visit renotally.co.uk, use its calculators, ask to be contacted about a renovation project, buy RenoTally Pro or apply for a professional profile.

Who we are

RenoTally.co.uk is operated by Velasource Ventures LTD, company number 17487573, registered in England and Wales. Our registered office is 20 Wenlock Road, London, England, N1 7GU. Information we collect

• Calculators and locally saved plans: figures entered into the free calculators and RenoTally Pro planning preview are processed in your browser. A plan saved on your device remains in that browser unless you choose to send information to us.
• Quote requests: if you submit a request, we receive the name, email address, phone number, project postcode, project details, timing and estimate information you provide. We also record the route used, the consent wording and time, and a shortened IP address to administer and evidence the request. Customer photos, plans and PDFs are not currently accepted through the request form.
• Contact and applications: if you contact us or apply for a professional profile, we receive the contact and business information you provide, such as business name, services, areas and description.
• Analytics: after the required cookie choice, Google Analytics may collect usage information such as pages visited, approximate location, device and browser type, referral source and interactions.
• Purchases: Gumroad handles RenoTally Pro checkout and digital delivery. We may receive the buyer's email address, order details and refund status needed to support the purchase. We do not receive complete card details.

Template requests

When you request a RenoTally template, we use your email address to send your download link and provide support if you contact us. Your request does not create an account or subscribe you to marketing emails. We do not share your request with contractors.

Your private download link is valid for up to 24 hours and allows up to three downloads. Opening the link without downloading the file does not count towards this limit. Please keep your link private.

Email delivery records are available for 30 days. We also use temporary download records and coded security identifiers to help prevent misuse. Expired security records are scheduled for removal through routine site maintenance.

Quote requests and sharing

You can use a calculator without sending a quote request. If you choose the ordinary quote route and agree to its sharing statement, we may review your request and share the relevant project and contact details with up to three suitable local businesses. We cannot promise that a business will respond or quote.

If you follow a particular contractor's RenoTally profile or link, the request form identifies that business. When you agree and submit, the request is stored by RenoTally and sent to that named business only, not to the general matching route. A profile clearly marked as a fictitious demonstration sends test requests to RenoTally rather than to a real contractor.

We rely on your consent to share a request with the relevant business or businesses. We use the information to administer the request, keep a record, answer questions and prevent misuse, relying on our legitimate interests in running and protecting the service. You can withdraw consent to further sharing by contacting us, but that cannot undo information already delivered to a business. A business receiving a request is responsible for its own later use of the information.

Contractor applications and membership

When you apply to join the professional directory, we use the details you provide to review the application, contact you and take steps towards a possible membership. Submission creates a private application record; it does not automatically create a login, public profile or payment. We also rely on our legitimate interests in assessing and safeguarding the directory. If we need evidence, logos or project photographs, we will explain how to provide them separately. Please do not send those files through the application form.

Contractor membership is reviewed and arranged manually. Payment is arranged outside the website for now; Stripe is not an active membership checkout. We may keep membership and payment records as needed to operate the arrangement and meet legal or accounting obligations.

Cookies and consent

Essential cookies support functions such as remembering your consent choice. Google Analytics and other non-essential technologies follow the site's consent controls. You can accept, deny or change your preferences at any time. See our Cookie Policy.

Who receives information

Our website and email hosting providers process information needed to run RenoTally and deliver messages. Google Analytics processes usage information according to your cookie choices. Gumroad handles RenoTally Pro purchases. For quote requests, the named business or up to three selected businesses may receive the project and contact details as described above. We do not send a named contractor's request to an unrestricted list. If the providers or payment route change, we will update this notice.

Some providers may process information outside the UK. Where UK data-protection law requires it, transfers are protected by an applicable adequacy decision or approved contractual safeguards.

How long we keep information

We keep contact and quote requests, including consent records, while needed to administer them, respond to follow-up questions, resolve disputes or prevent misuse, then review and remove information no longer needed. Unsuccessful or incomplete contractor applications are normally retained for no more than 12 months unless needed longer for a dispute, legal obligation or security. Approved contractor records are kept while the membership is active and afterwards only as required for legal, accounting or security purposes. Purchase and payment records may be kept for the applicable support, accounting and legal periods. Analytics information follows our Google Analytics settings and Google's retention rules. Locally saved plans stay on your device until you clear the browser storage.

Your rights

Depending on the circumstances, UK data-protection law gives you rights to access, correct or erase information, restrict or object to its use, receive portable data and withdraw consent. Email hello@renotally.co.uk to make a request or ask which businesses received your quote request. You can complain to the UK Information Commissioner's Office at ico.org.uk.
